Vendor Information

  • Vendor Setup Time: 8:00 AM - 10:00 AM (must be ready by 10:00 AM)

  • Event Duration: 10:00 AM - 3:00 PM

  • Vendor Registration Deadline: November 1, 2024, or until full

  • Cost: $50 per 10x10 spot; an additional $5 for electricity

  • Raffle Participation: Each vendor is required to provide a raffle basket/item.

Terms and Conditions

  1. Registration and Confirmation:

    • Vendor slots are allocated on a first-come, first-served basis.

    • Vendors are not confirmed until payment has been received. You will be contacted with payment instructions upon approval of your application.

    • Duplicate vendors (e.g., multiple vendors from the same direct sales company) are not allowed to ensure a variety of offerings.

  2. Setup and Operation:

    • Setup begins at 8:00 AM on the day of the event. All vendors must be fully set up and ready by 10:00 AM.

    • Vendors are responsible for bringing their own tables, chairs, and any other necessary setup equipment.

    • Spaces are assigned based on availability and vendor requests, but specific locations are not guaranteed.

  3. Sales and Liability:

    • Participation in the market does not guarantee sales. Vendors are responsible for their own sales activities and outcomes.

    • River Ridge Elementary and the event organizers are not liable for any lost, stolen, or damaged items during the event.

  4. Cancellation Policy:

    • Vendors who cancel on or before November 1, 2024, will receive a partial refund of their registration fee, minus a $10 administrative fee.

    • No refunds will be issued for cancellations made after November 1, 2024.

  5. Raffle Participation:

    • Each vendor is required to donate a basket or item for the event raffle. This helps promote vendor participation and provides added value to event attendees.

  6. Insurance Requirements:

    • Vendors who do not carry insurance release River Ridge Elementary, its PTO, and event organizers from any liability related to their participation in the event.

  7. Compliance with School Policies:

    • All vendors must comply with River Ridge Elementary’s policies, including those related to safety, conduct, and the prohibition of certain items (e.g., alcohol, tobacco, firearms, or other prohibited substances).

    • Vendors are prohibited from selling items that are inappropriate for a school setting, such as adult content, weapons, or any items that could be deemed harmful or offensive.

  8. Health and Safety:

    • Vendors are required to adhere to all local health and safety regulations, including those related to food safety if selling consumable products.

    • Vendors selling food or beverages must obtain and display the appropriate permits and follow all health department guidelines.

  9. Indemnification:

    • Vendors agree to indemnify and hold harmless River Ridge Elementary, its PTO, staff, and event organizers from any claims, damages, losses, or expenses arising out of or in connection with the vendor’s participation in the event, including but not limited to any injuries, damages, or losses caused by the vendor’s products, equipment, or actions.

  10. Force Majeure:

    • The Holly Jolly Market may be canceled or postponed due to unforeseen circumstances beyond the control of the organizers, such as extreme weather, natural disasters, or other emergencies. In the event of cancellation due to force majeure, vendors will be notified as soon as possible, and refunds or rescheduling options will be considered at the discretion of the event organizers.

  11. Parking and Access:

    • Vendors are required to follow designated parking and unloading instructions provided by the event organizers. Vehicles must be moved to the designated parking area after unloading to ensure easy access for other vendors and attendees.

    • Fire lanes and emergency exits must be kept clear at all times.

  12. Use of School Property:

    • Vendors are responsible for maintaining the cleanliness of their assigned area. Any damage to school property caused by the vendor will result in charges for repairs or replacement.

    • All trash and debris must be properly disposed of in designated receptacles.

  13. Prohibited Activities:

    • Vendors are prohibited from engaging in activities that disrupt the school environment or the event, including but not limited to loud or inappropriate behavior, unauthorized solicitation, or activities that violate school policies.

  14. Event Promotion and Use of Logos:

    • Vendors may use the event name "Holly Jolly Market" in their marketing materials but must not use the River Ridge Elementary logo or name without prior written permission from the school administration.

    • Any promotional materials distributed by vendors must be approved by event organizers prior to the event.

  15. COVID-19 or Other Public Health Compliance:

    • Vendors must comply with any public health guidelines in place at the time of the event, including mask-wearing, social distancing, or other requirements. These guidelines will be communicated in advance if applicable.

 

Agreement: By registering and participating in the Holly Jolly Market, vendors agree to adhere to these terms and conditions. Failure to comply may result in the termination of the vendor’s participation without a refund.
